About the role
As a Purchasing Coordinatoryoullplay a key role in supporting the smooth and efficient ordering onboarding and management of vehicles within ourSplendfleet. This is a fastpaced detaildriven position whereyoullwork closely with suppliers dealerships and internal teams to ensure every order isaccurateand delivered on time.
Youllmaintainsystems track progress resolve issues proactively and keep our operations running seamlessly. With a genuine interest in the automotive or fleet sectoryoullhelp drive the reliability and growth of our fleet operations.
Responsibilities
- Assistwith vehicle orders through approved dealerships and suppliers ensuring specifications and requirements are accuratelylogged.
- Maintain and update order trackers delivery schedules and vehicle databases whilemonitoringprogress and escalating delays or issues when needed.
- Liaise with dealerships and suppliers to obtain order updates delivery confirmations VINs registrations and all required documentation.
- Ensure all vehicle paperworksuch as order forms invoices and VIN detailsarereceived checked and filed correctly.
- Supporting registration tax insurance and compliance processes.
- Keep fleet systems and CRMs up to date produce basic reports on orders and lead times and support invoice checking by raising any discrepancies for review.
- Work collaboratively withother departments to supportthe smooth onboarding of new vehicles into the fleet.
What youll bring
- Exceptional administrative and organisationalskillsgained through experiencein administration coordination or customer service.
- Clear and confidentcommunicationwith strong written and verbal skills and a collaborativeteam focusedapproach.
- Comfortable using Excelandfleet management systemswith a strong willingness to learn new tools.
- Detaildrivenmaintaininghigh accuracy when handling documentation data and daytoday tasks.
- Proactive reliable and able to prioritise effectively to meet deadlines in afast pacedenvironment.
- Genuine interest in vehicles fleet or the automotive sector. Ideallypreviousexposure to procurementlogistics or supply chain environments and a readiness to develop further.
