Purpose of the Role:

  • Ensure the efficient operation of office facilities.
  • Welcome and assist all visitors, notify hosts upon their arrival, and escort them to meeting rooms.
  • Understand the needs of the visitors and guests and resolve any complaints or issues promptly and professionally.
  • Deliver seamless support to the team.

Key Role Accountabilities:

Globe UK is seeking a dedicated Office Administrator to oversee daily office operations and ensure seamless administrative and facilities-related functions. The ideal candidate will be proactive, detail-oriented, and capable of multitasking in a fast-paced corporate environment.

  • Oversee daily office activities, ensuring smooth operations.
  • Undertake first aid and fire marshal responsibilities once trained, including attending regular training and refresher sessions as required.
  • Liaise with suppliers and manage procurement and inventory of office supplies.
  • Serve as the main contact for building management enquiries.
  • Coordinate travel arrangements and assist with events.
  • Assisting with scanning and printing documents.
  • Support client meetings and assist in hospitality services.
  • Manage couriers and parcel logistics.
  • Ensure workspaces are properly equipped and maintained.
  • Administer access control security system including issuing/deleting access levels and cards for staff and contractors
  • Reconfigure meeting rooms as needed for events.
  • Provide administrative support to the executive team as required.
  • Provide cover within the team where necessary.
  • Support the Executive Assistant to the CEO as needed.
  • Perform other ad-hoc administrative duties
  • Booking of meetings, including room and catering arrangements.

Qualifications & Experience:

  • M inimum GCSE in Maths and English.
  • Strong communication, multitasking, prioritization, organizational and interpersonal skills.
  • At least 2 years’ experience in reception, facilities and administrative roles within a corporate environment.
  • Proficiency in Microsoft Office.

Required Skills & Qualifications:

  • Prior experience in office support, facilities management, or corporate reception.
  • Proficiency in Microsoft Office (Word, Excel).
  • Excellent verbal and written communication skills.
  • Strong organisational and time management abilities.
  • Proactive in resolving operational and facilities issues.
  • Professional and approachable manner with clients, employees, and vendors.
  • Ability to lift and move office supplies or equipment as needed, using trolleys for goods transportation and assist with workplace setup while adhering to health and safety regulations.
  • Capable of managing workload and meeting tight deadlines, sometimes at short notice
  • Willingness to complete first aid and fire marshal training and to act as a designated first aider and fire marshal for the office.
