Event Coordinator (FTC, 6 months)
About the Role
You’ll be responsible for supporting the EMEA event manager with the planning and execution of external-facing events that drive awareness, partnerships, and adoption of OpenAI products (e.g. conferences, developer events, customer activations, launches).
Responsibilities
Coordinate delivery of external events (conferences, hosted dinners, field events, product launches)
Support end-to-end event execution from planning through post-event wrap
Manage run-of-show, timelines, and production schedules
Handle venue sourcing, contracts, catering, AV, fabrication, and staffing
Coordinate with agencies and production partners
Track budgets, POs, and invoices
Cross-functional coordination
Manage registration, guest comms, and on-site check-in
Ensure a high-quality, premium experience aligned with brand
Support VIP / executive hosting where needed
Be on the ground to run logistics and troubleshoot issues in real time
Coordinate staff, speakers, and vendors during live events
Track event performance metrics (attendance, pipeline, engagement)
Support post-event reporting and insights
Requirements
2–5+ years in events, field marketing, or experiential marketing
Experience with external / customer-facing events (not just internal)
Strong project management and attention to detail
Comfortable working in fast-paced, ambiguous environments
Vendor and agency management experience
Ability to travel and support onsite execution
