Wholesale Operations Coordinator

Studio Ellis is looking for a full-time Wholesale Operations Coordinator to join the team in London.

The Wholesale Operations Coordinator is responsible for managing the operational processes behind the wholesale business, ensuring that orders, dispatch, and systems are handled accurately and efficiently across all brands. This is a detail-driven role focused on execution, organisation, and maintaining clear communication between internal teams, customers, and warehouse partners.

Key Responsibilities of the Wholesale Operations Coordinator

Order Management:

• Manage wholesale orders in Zedonk from entry through to delivery
• Process invoices, reorders, returns, and credit notes
• Maintain accuracy of all order data within the system

Dispatch & Logistics

• Coordinate dispatch with 3PL and warehouse partners
• Monitor delivery timelines and resolve any delays or issues
• Provide tracking information and updates where required

Operational Tracking:

• Maintain and update internal tracking spreadsheets (orders, deliveries, payments)
• Ensure all information is accurate and up to date

Stock Coordination:

• Support stock alignment between internal systems and warehouse partners
• Monitor stock movement and availability where required

Returns & Aftercare:

• Process returns within the system and coordinate with relevant teams
• Support resolution of any order issues or discrepancies

Sales Support:

• Provide operational support to sales teams and agents
• Ensure all order-related information is clear and accessible

What Studio Ellis is looking for:

• Experience in wholesale fashion operations or a similar environment
• Strong working knowledge of Zedonk or equivalent ERP system
• Highly organised with strong attention to detail
• Comfortable managing multiple orders and timelines simultaneously
• Clear and professional communication skills
• Confident working across systems, spreadsheets, and logistics processes
