Role Summary and Impact
This role serves as an Executive Assistant within a high-performing team of experienced EAs and PAs, playing a crucial role in ensuring the smooth running of the agency’s executive operations.
The Executive Assistant provides proactive, consistent, and high-level support to the Chief Client Officer/EVP. The position requires exceptional organisation, discretion, and the ability to anticipate needs before they arise.
Key responsibilities include coordinating logistics for new business meetings held at Rose Court and ensuring clients receive an exceptional and seamless experience. The EA is expected to stay one step ahead at all times, proactively managing schedules, anticipating challenges, and implementing solutions before issues arise.
Responsibilities
- Extensive diary management
- Arranging both internal/external meetings and ensuring correct meeting resources are prepared; catering, IT / audio equipment, room layout, etc
- Inbox management - flagging relevant information/deadlines, arranging meetings that come through the Exec’s inbox and drafting responses when necessary
- Ensuring agendas and any documentation required for, or in advance of the meeting are provided
- Following up on action points from meetings
- Gatekeeper – act as first point of contact
- Appropriately meeting and greeting visitors
- Ad hoc coordination of initiatives eg Team Away Days / Off-site meetings
- Ad hoc sourcing of external venues
- Submitting expenses and timesheets on their behalf
- Managing any IT issues on Exec’s behalf
- Assist with PowerPoint decks, document editing/creation
- Managing New Starter Induction/Leaver process
Skills and Experience
Essential Criteria
Previous experience working as a PA/EA to C-Suite
Proficient in Microsoft Office: Outlook/Word/PowerPoint/Excel/Teams especially with PowerPoint
Very strong interpersonal skills and the ability to build relationships with stakeholders, including Global
Leadership, assistant counterparts, external individuals and clients.
Can confidently manage a very demanding diary
Can display emotional maturity, confidentiality, tact and discretion
Focused and calm under pressure
Confident and able to work on own initiative and with limited supervision
Experience with working within a Media Agency or Creative environment.
Desirable Criteria
Previous experience working in a similar fast paced environment
Previous experience working in the Media industry
