We’re looking for an experienced and proactive Contract Administrator to support the delivery of a large-scale retail cleaning contract within our operations team.

You’ll play a key part in ensuring that all administrative, financial, and compliance processes run smoothly supporting the Account director, site teams, and client stakeholders to deliver a high-quality service across multiple retail sites.

This role is ideal for someone who thrives in a fast-paced, customer-focused environment, with strong organisational skills and a keen eye for detail.

Key Responsibilities:

Contract & Operational Administration

· Maintain up-to-date records for all retail sites including contact details, audits, compliance, and performance data.

· Support contract mobilisation, site changes, and service transitions, ensuring all documentation is accurate and complete.

· Prepare weekly and monthly operational reports, KPI dashboards, and audit summaries.

· Schedule meetings, prepare agendas, and record actions for internal and client reviews.

· Own attendance reporting to the client and senior leadership team.

· Preparing reports for Account Support Manager to aid service improvement and streamlining.

Finance & Payroll Support

· Assist in processing weekly timesheets and input payroll data accurately for cleaning teams.---

People & Compliance Administration

· Support recruitment, onboarding, and induction administration for cleaning operatives.

· Track uniform and equipment orders and ensure records are kept up to date.

· Maintain compliance records for Health & Safety, COSHH, and training requirements.

Systems & Reporting

· Use company systems (e.g. Velocity) to record data and produce operational reports.

· Monitor KPIs and SLAs, supporting the Account Director in identifying areas for improvement.

· Compile data for client reports, audits, and performance reviews.

Skills & Experience Required

Essential

· Proven administrative experience within facilities management, commercial cleaning, or contract services.

· Excellent organisational and communication skills.

· Strong attention to detail and accuracy in data management.

· Proficient in Microsoft Office (Excel, Word, Outlook).

· Experience working in a fast-paced, multi-site operational environment.

Working Hours: 37.5

· Monday to Friday, typically 9:0 am – 5:30 pm with occasional travel required (with flexibility during busy periods).
