Assistant Property Manager - Ropemaker Place, London
Purpose of the Role
Take the lead on soft services operations, coordinate the operational day to day aspects of Property Management whilst complying with risk management practices and requirements, including the supervision of supply partners. Deputising for the Property Manager as and when required.
Key Responsibilities
· Support the Property Manager in advancing good client relations with appropriate occupier representatives, propagate open communication and flow of information on building issues.
· Update records and ensure compliance with all Savills operational processes, policies and procedures. Health & safety, emergency procedures and safe working practices are enforced and conform to legislation
· Assist with the control of budgets, establishing ‘value for money’ strategies. Assist with setting budgets and understanding complex service charges.
· Manage service providers, chair monthly contract meetings, monitor performance against SLAs and KPIs. Make clear decisions and direct contractors for all reactive works.
· Direct Line Management responsibility for the SMR Property Coordinator.
· Work in conjunction with all internal teams and departments, and manage multi discipline teams
· Although the primary focus of the role is soft services operations; as part of our one team ethos it is imperative the role collaborates with the wider Property Management department, working closely with Engineering, Asset Management and H&S. Collectively, these teams will be responsible for delivering excellent services that surpass customer expectation at all times.
· Keep all online systems, e.g. Datastation up to date and ensuring all outstanding actions are completed within the requires timescales.
· Utilise the SEMS system to maximum effect on the Account: operational delivery, commercial and demonstrating best practice.
· Manage the Building Portal, Cureoscity and any other systems. Review and approve permits on a daily basis.
· Share best practice and promote innovation
· Review and implement policies, standards and procedures for the site team.
· Perform administrative functions such as reviewing and writing reports as and when required.
· Develop management resource plans to meet operational needs and effects change where required.
· Develop and promote good internal relations in order to identify and implement continual improvements.
· Carry out community engagement work - inform and engage the local community to ensure positive visitor numbers and that facilities are as well utilised as possible
· Drive forward environmental and sustainability initiatives, e.g. ISO14001 etc..
· Promote our culture that encourages top performance and high morale.
· Excellent communication skills to build partnerships with key stakeholders and other organisations.
· Prepare management reports for a variety of stakeholders and attend/chair management meetings as required
· Experience with and a diplomatic approach to dealing with demanding clients and service users, managing expectations and ensuring clear, transparent lines of communication are maintained.

Working Hours - 08:00 hours to 17:00 hours – 45 hrs p/w
Salary - £45,000.00
