Executive Assistant - Contract (Hiring Immediately)

Role Purpose We are seeking a highly organised, proactive Executive Assistant to support the CEO of a global SaaS business on a 4-month fixed-term basis. This role requires a high level of discretion, attention to detail, and the ability to operate effectively in a fast-paced, international environment. The Executive Assistant will play a critical role in enabling the CEO to operate efficiently, managing a complex schedule, coordinating international travel, and ensuring smooth day-to-day operations. Given the global nature of the business, this role will support frequent travel to the USA and Australia and will require flexibility across time zones. Key Responsibilities Executive Support Provide high-level administrative support to the CEO, including diary management, meeting coordination, and inbox management Act as a gatekeeper, prioritising requests and ensuring effective time management Prepare agendas, briefing materials, presentations, and follow-up actions for meetings Support internal and external communications on behalf of the CEO Diary & Scheduling Management Manage a complex and frequently changing calendar across multiple time zones (EMEA, USA, Australia) Coordinate internal and external meetings, ensuring appropriate prioritisation and preparation Anticipate scheduling conflicts and proactively resolve them Travel & Logistics Plan and coordinate international travel, including frequent trips to the USA and Australia Manage end-to-end travel logistics: flights, accommodation, visas (if required), and itineraries Prepare detailed travel packs and ensure seamless execution of travel plans Handle expenses and ensure timely submission and reconciliation Stakeholder Coordination Liaise with senior internal stakeholders and external partners on behalf of the CEO Ensure effective communication and follow-up on key actions and decisions Support coordination of leadership meetings and company-wide initiatives Operational & Administrative Support Track key actions and priorities, ensuring deadlines are met Maintain confidentiality of sensitive information at all times Support ad hoc projects and operational tasks as required Key Requirements Proven experience as an Executive Assistant supporting C-level executives, ideally in a global PE backed environment Strong diary and travel management experience, including international travel coordination Experience supporting executives operating across multiple time zones (USA and Australia preferred) Exceptional organisational and prioritisation skills High level of discretion and professionalism Strong written and verbal communication skills Proactive, solutions-oriented mindset with the ability to anticipate needs Proficiency in Microsoft Office
