Travelling Chief Of Staff / EA

On behalf of our client, an UHNWI arising entrepreneur, we are looking to hire a Travelling Chief Of Staff/EA to provide high-level executive support to the Principal, ensuring seamless management of personal and professional responsibilities. The Executive Assistant will play a critical role in enabling the Principal to focus on strategic priorities by overseeing daily operations, managing communications and coordinating with a wide range of stakeholders. This role is for someone who is happy to travel extensively between India, London, Dubai and the US throughout the year.

Key Duties for the Travelling Chief Of Staff/EA

  • End-to-end management of the Principal’s calendar by coordinating across multiple teams.
  • Ensure the Principal is fully prepared for internal and external meetings.
  • Schedule and track follow-ups with both professional and personal staff.
  • Draft agendas, review documents, and circulate MOMs with reminders when required.
  • Manage complex local and international travel itineraries (private aviation, hotels, drivers, security, chefs, etc.).
  • Organize the Principal’s social calendar, including events, dinners, large gatherings, and special occasions.
  • Manage properties across multiple geographies and coordinate with their staff.
  • Coordinate across departments to drive projects and events to completion.
  • Prepare the Principal for events by coordinating with stylists, designers, and other key stakeholders.
  • Coordinate speeches, letters, public and personal communication and gifting.
  • Oversee and track all expenses across personal, professional, and household domains.
  • Maintain oversight of budgets for travel, events, properties, and special projects.
  • Attend meetings in the Principal’s absence.
  • Travel domestically and internationally (with or without the Principal) to oversee arrangements and ensure execution.
  • Operational Support: Support daily business operations, including office management, expense tracking, and vendor coordination as needed.
  • Stakeholder Engagement: Build and maintain strong relationships with key stakeholders, both personal and professional.

The Ideal Traveling Chief Of Staff/EA

  • 5+ years of relevant experience as an executive assistant, chief of staff, or in a similar capacity supporting senior leadership.
  • Exceptional organisational and multitasking abilities.
  • Excellent verbal and written communication skills in English; proficiency in other languages is an advantage.
  • High level of discretion and integrity in handling confidential information.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools.
  • Ability to work independently, prioritise tasks, and adapt to changing priorities.
  • Strong interpersonal skills and a collaborative mindset.
