Building Services Coordinator - Cannon Bridge House, London
Purpose of the Role
The Building Services Coordinator plays a pivotal role in the day-to-day operational excellence of Cannon Bridge House, a prime City of London asset managed under the Savills RISE framework. This is a highly dynamic, people-first position that places stakeholder relationships, community building and service excellence at its core.
The postholder will be the primary coordinator across all administrative, compliance, soft services, placemaking and communications functions — directly supporting the General Manager in delivering a best-in-class occupier experience that reflects Savills' purpose: to help people thrive through places and spaces. The role is an excellent platform for professional development and active participation in the Savills RISE learning programme.
Key Responsibilities
1. Building Administration & Systems
• Maintain proficiency in all Savills pathway and property management platforms, ensuring data accuracy, timely updates and full utilisation of system capabilities across the building.
• Oversee helpdesk operations, ensuring all occupier requests are logged, tracked and resolved in a timely and professional manner, with regular reporting to the General Manager.
• Administer and maintain the compliance tracker, ensuring all statutory and regulatory obligations are documented and actioned in line with legislative requirements and Savills standards.
• Manage the purchase-to-pay (P2P) process and invoice administration, including raising purchase orders, reviewing, and processing invoices, and ensuring accurate reconciliation against service charge budgets.
• Conduct regular reviews of helpdesk logs, compliance records and financial transactions to ensure accuracy, flag anomalies and support continuous improvement.
2. Supporting the General Manager
• Assist the General Manager in planning and scheduling objective-driven meetings with service partners, ensuring agendas are structured, actions are captured, and service performance is measured against agreed KPIs.
• Attend occupier meetings as required, taking accurate minutes, circulating action schedules promptly and following up on outstanding items to ensure commitments are met.
• Prepare and maintain schedules, reports and presentation materials to assist senior management decision-making.
3. Roof Garden Event Management
• Take an active, hands-on role in the management of all events hosted at the Cannon Bridge House roof garden, which serves as a premium, exclusive amenity for occupiers and landlord-sponsored functions.
• Conduct the first stage vetting of event applications, assessing suitability against the building's event policy, occupier agreements and health and safety requirements, and escalating to the General Manager where appropriate.
• Carry out detailed pre-event and post-event condition surveys of the roof garden and associated spaces, maintaining comprehensive records to protect the asset and manage any dilapidation claims.
• Coordinate with contractors, security, front of house and external suppliers to ensure seamless event execution from application through to close-out.
4. Sustainability & Circular Economy• Supporting General Manager in delivery of the Cannon Bridge House sustainability charter, with a primary focus on waste management strategy and the adoption of circular economy principles across the building's operations.
• Liaise with soft service partners and specialist contractors to embed measurable environmental targets, track performance data and report outcomes to stakeholders in a transparent and accessible format.
• Support General Manager with ESG reporting requirements and contribute to wider Savills sustainability objectives, aligning activities with Savills' commitment to reducing its carbon footprint and enhancing environmental performance across managed assets.
• Identify and promote initiatives that demonstrate environmental leadership and contribute positively to Cannon Bridge House's sustainability narrative.
5. Placemaking, Community & Charitable Engagement
• Lead on the building's placemaking programme, curating a calendar of pop-up activities, community initiatives and charitable foundation events that create a vibrant and inclusive environment for occupiers, visitors and the local community.
• Source, vet and coordinate pop-up partners and charitable organisations, ensuring all activities align with the Cannon Bridge House brand identity and occupier expectations.
• Liaise with the Savills Customer Excellence team to learn from wider event-led activity across the RISE portfolio, bringing best practice and innovative ideas to the Cannon Bridge House community.
• Measure the impact of placemaking initiatives and provide regular updates to the General Manager and key stakeholders.
6. Building Communications & Occupier Engagement
• Author and publish the Cannon Bridge House occupier newsletter, producing high-quality, engaging content that keeps occupiers informed, promotes upcoming events, highlights sustainability achievements and reinforces a strong sense of community.
• Manage all building communications through appropriate channels, ensuring messages are timely, professional and consistent with Savills' brand voice and communication standards.
• Act as a primary point of contact for day-to-day occupier queries, building trusted relationships with tenant representatives, front of house teams and wider stakeholders at all levels.
• Develop and maintain a stakeholder engagement plan, proactively identifying opportunities to strengthen relationships and improve the occupier experience.
7. Savills RISE Programme Participation
• Actively participate in the Savills RISE learning and development programme, engaging with training modules, performance frameworks and audit processes to develop professional competencies aligned with Savills' property management standards.
• Contribute to application of RISE principles — operational excellence, customer experience, wellness and sustainability, technical services, and innovation — to all aspects of day-to-day activity at Cannon Bridge House.
• Engage with the Savills Customer Excellence team to build expertise in event-led occupier engagement, with a view to designing and implementing enhanced programming at Cannon Bridge House.
• Contribute to RISE audit preparation, benchmarking exercises and continuous improvement initiatives, supporting the General Manager in maintaining and elevating the building's performance rating.
Skills, Knowledge and Experience
Candidates will be required to demonstrate the following:
Essential
Demonstrable experience in a occupier facing, building services coordination role within a prime commercial or mixed-use environment.
Strong administrative skills with the ability to manage multiple workstreams simultaneously, including compliance tracking, invoicing and helpdesk oversight.
Excellent interpersonal and communication skills with a natural ability to build trusted relationships with occupiers, service partners and senior stakeholders.
Confident minute-taker with the ability to produce clear, concise action schedules and follow through on commitments.
Strong written communication skills, with experience authoring professional documents, reports or communications for a business or occupier audience.
Proactive, organised self-starter with a genuine commitment to delivering outstanding customer experience.

Desirable
· Familiarity with sustainability reporting, waste management strategies or circular economy frameworks within a managed property context.
· Experience in event coordination or placemaking activity within a commercial property or hospitality setting.
· Knowledge of service charge administration, purchase-to-pay processes and budget monitoring principles.
Working Hours - 35 hours/week. 9:00-17:00
