Executive Assistant - Professional Indemnity Practice
We are seeking a highly organised, proactive, and discreet Executive Assistant / PA to provide comprehensive support to the Professional Indemnity Practice Leader, GB FINEX, Willis Ltd.
This role is pivotal in ensuring the smooth operation of the leadership office, managing a dynamic schedule, coordinating governance activities, and acting as a key liaison across senior leadership, the wider operations team, and external stakeholders.
The Role
- Diary & Meeting Management
- Manage the calendars of the Practice Leader and other senior colleagues , scheduling internal and external meetings, including governance forums and committee sessions.
- Prepare agendas, coordinate logistics, and ensure timely distribution of meeting materials.
- Attend key meetings to capture minutes and follow-up actions.
- Finance & Reporting Support
- Assist in the preparation and communication of team revenue budgets, using Finance and CRM reporting to produce weekly updated forecasts and liaising with senior colleagues to ensure accuracy and timeliness
- Assist in the preparation and collation of governance packs, including minutes and action trackers.
- Liaise with Business Unit colleagues and stakeholders across Willis Ltd. to ensure timely updates and compliance with governance protocols.
- Communication & Liaison
- Act as the first point of contact for the Practice Leader and senior colleagues, handling correspondence with professionalism and confidentiality.
- Coordinate communications between leadership and internal teams, clients, and external partners.
- Team & Project Support
- Provide administrative and coordination support to the wider Professional Indemnity team.
- Track progress on key deliverables and escalate issues where necessary.
- Support senior colleagues with the preparation of presentations, reporting packs and operational planning.
- Administrative Excellence
- Maintain accurate records, filing systems, and document management aligned with company standards.
- Process expenses, travel arrangements, and other administrative tasks efficiently.
Qualifications
What you’ll bring
- Proven relevant years of experience as an Executive Assistant or PA supporting senior leaders, ideally within financial services or regulated environments.
- Exceptional organisational and time management skills.
- Strong written and verbal communication abilities.
- High level of discretion and professionalism.
- Proficiency in Microsoft Office Suite and collaboration tools (e.g., Teams, SharePoint).
- Familiarity with governance processes and committee operations is highly desirable.
