Who you are:
Primary objective of the job:
To ensure the smooth and efficient running of Head Office by managing day-to-day operations, maintaining a professional and welcoming environment, and providing proactive administrative and PA support to the leadership team.
What you’ll be doing:
Executive & Administrative Support
- Provide proactive executive support, including meeting coordination and prioritising schedules.
- Prepare board and leadership meeting materials, including agendas, papers, and minutes.
- Arrange travel itineraries, accommodation, visas, and logistics for senior leaders.
- Handle confidential and sensitive information with professionalism and discretion.
- Support leadership in preparing for external meetings, conferences, and events.
Office Management
- Oversee daily operations of Head Office, maintaining a professional, safe, and welcoming environment for all employees and visitors.
- Manage facilities and contractor relationships, including supplier performance reviews using SLAs and KPIs.
- Project-manage maintenance works, office moves, and refurbishments, liaising with relevant departments and external contractors.
- Supervise security and access control (visitor registration, daily passes, main entrance protocols).
- Coordinate post and courier services (incoming and outgoing) and liaise with the landlord/building management where required.
- Conduct regular floor walks and meeting room checks, ensuring high standards of presentation and cleanliness.
- Manage office procurement (refreshments, groceries, stationery) and ensure budget compliance.
- Oversee office budgets, supplier contracts, and expense processes.
- Ensure compliance with health & safety requirements; act as a Fire Warden and member of the emergency response team.
Culture, Communication & Engagement
- Build strong working relationships across teams, suppliers, and partners.
- Support onboarding of new employees to ensure a smooth and welcoming introduction to Head Office.
- Support with organising office events, socials, and team-building activities in collaboration with the social committee.
- Contribute to a positive, inclusive, and professional office culture.
- Provide general administrative support and respond to ad hoc queries across the business.
What you’ll need:
Skills & Experience
- Previous experience as a PA, EA, or Office Manager (ideally in a fast-paced environment).
- Excellent organisational skills with the ability to juggle multiple priorities.
- Strong IT skills: MS Office (Word, Excel, PowerPoint, Outlook), Teams/Zoom, expense & calendar systems.
- Excellent written and verbal communication skills.
- Strong problem-solving ability and proactive approach.
