The Role

As Executive Assistant to MVF’s CEO, CFO and CPO, you’ll manage complex calendars, coordinate travel, and ensure the success of key meetings and events. You’ll oversee some company events, support onboarding programmes, and assist with presentations and operational tasks.

This role demands exceptional discretion, proactive multitasking, and polished execution, offering a unique opportunity to make a significant impact at MVF.

Responsibilities:

  • Manages calendar and meetings with the Board of Directors.

  • Manages business travel and expenses.

  • Ensures success of major meetings (e.g. investors, M&A) including welcoming guests, managing rooms and AV and catering.

  • Ad hoc other support, such as supporting with professional engagements or arranging high-profile interview processes.

  • Maintains a complete calendar of all MVF department meetings (such as Town Halls) to support Executive team attendance.

  • Supports on draft papers and Google Slides/PowerPoint presentations including Board and Investor audiences.

  • Ownership of smooth running of Board meetings, Internal Barometer monthly meetings, Senior Leadership events.

  • Leads or supports events to ensure it is inline with the CEO’s agenda, including venue selection, project management, logistics, and third-party management. Works with the Office Manager to ensure details are covered and the event runs smoothly.

  • Provides programme support for onboarding.

  • Owns onboarding for Exec starters.

  • Occasionally cover for Front Of House in an emergency.

  • Ownshership for logistics and smooth running of our monthly Town Halls

  • Provide ad hoc support for other members of the Executive Board as requested and if there is capacity.

Skills & Attributes

  • Confidentiality, discretion, and gravitas as required for a CEO/Exec E.A role

  • Excellent judgement

  • Speed in execution

  • Trustworthy and discreet with regard to confidential/sensitive information.

  • Proactive, able to multitask and manage multiple workstreams at the same time.

  • Highly proficient in GoogleSlides and Powerpoint to support with presentations.

  • Previous experience using Slack would be an advantage.

  • Passion for learning new things and experience with A.I. to make improvements to workflows and processes.
