Gleeds has an exciting opportunity for an experienced and enthusiastic Executive Assistant, who wants to construct a career with purpose in a personable and professional environment. The successful candidate will be a integral part of the team, supporting in a number of ways including -
Key responsibilities include:
- Manage complex calendars, schedule meetings, and coordinate appointments for directors.
- Prepare, review, and edit correspondence, reports, presentations, and other executive-level documents.
- Organise board meetings, and maintain meeting minutes and action plans
- Organise and prioritise incoming communications, ensuring timely responses and follow-up.
- Coordinate travel arrangements, including flights, accommodations, itineraries, and expense reports.
- Plan and support internal and external meetings, events, and executive briefings.
- Maintain confidential records, files, and sensitive information with discretion.
- Serve as a liaison between executives and internal/external stakeholders.
- Track key projects, deadlines, and deliverables, providing reminders and status updates.
- Conduct research, compile data, and prepare summaries or recommendations as needed.
- Support operational efficiency by identifying process improvements and assisting with special projects.
Experience, Knowledge, and key skills:
- 5 yrs + experience as an executive assistant
- Proficiency in Microsoft office applications
- Confident communication skills
- Exceptional organisational and time-management skills, with the ability to prioritise competing demands
- Experience working in a professional services organisation
