Office Coordinator

What you’ll be doing:
The role of Office Coordinator is an office-based role with minimal flexibility to work from home. The responsibilities of the post are as follows:
· Support and coordinate the smooth running of our London office, ensuring all ISO quality processes relating to the facilities are maintained. Ensure all new starters' workspaces are ready.
· Ensure the office is stocked with necessary essentials.
· Maintain records, resolve issues when identified, and complete new starter inductions.
· Be the first point of contact for all visitors, ensuring meeting rooms are prepared, refreshments are provided, and everyone feels warmly welcomed.
· Book travel arrangements, including trains and flights, for employees and contractors, ensuring all travel logistics are handled efficiently.
· Provide administrative support to the Executive Assistant, including taking meeting minutes when required, managing correspondence, and handling any other ad hoc admin tasks.
· Communicate effectively with internal and external stakeholders.
· Answer incoming PGI calls and handle enquiries appropriately, ensuring timely and effective resolution.
On day one you will bring:
· Demonstrable experience in office/facilities management
· An ability to find solutions, be proactive and the ability to multi-task.
· Time management and ability to prioritise
· Have a ‘no job’ to small attitude!
· A friendly and welcoming personality, the ability to work well with others
· Good working knowledge of MS Office
· Ability to remain clam under pressure and balance their workload
· Experience in taking meeting minutes (essential)
