Admin Assistant - West London
A large and high-performing 11–18 secondary school in West London is seeking a proactive, personable and detail-oriented Admin Assistant to join its busy and professional administrative services team from January 2026 .
About the Role
Working closely with the Office Manager and wider school operations team, you will play a key role in ensuring the smooth and efficient running of daily school functions. Your responsibilities will include:
- Managing front-of-house duties, responding to emails, phone calls and visitor enquiries with warmth and professionalism
- Maintaining accurate student and staff records, including updating the school MIS and preparing documents for pastoral and safeguarding teams
- Supporting the monitoring of student attendance and punctuality, liaising with year teams and parents where required
- Preparing letters, reports, spreadsheets and documentation for staff across various departments
- Assisting with the coordination of events such as parents’ evenings, induction days, staff briefings and whole-school activities
- Providing administrative support to curriculum and pastoral teams, ensuring timely communication and accurate information flow
- Helping maintain efficient office systems, filing, data organisation and compliance documentation
- Acting as a reliable point of contact for staff queries and contributing to a positive and well-organised office environment

About You
- Prior experience in school administration or a busy office environment (training can be provided for school-specific systems)
- Confident using Microsoft Office, spreadsheets and data systems, with strong written and verbal communication skills
- Highly organised, calm under pressure and able to manage multiple tasks simultaneously
- Professional, warm, discreet and able to handle sensitive information with confidentiality
- A team player with a positive attitude and strong attention to detail
