We have a great opportunity for an Office Administrator to join our team within Vistry West London, at our Ealing office. This is an ideal role for a competent administrator who will report into the Office Manager. This varied role will suit an organised and flexible individual who enjoys working in a fast-paced environment.

    • GCSE in maths and English (or equivalent) at grade C or above
    • Administration positions held previously
    • Previous office environment experience
    • Worked in a reactive & fast-paced position previously
    • A high standard of IT literacy, including full proficiency in Microsoft 365 – Word, Excel, Teams, SharePoint, Outlook, OneDrive
    • Demonstrable process implementation skills, including workload management
    • Knowledge of principles and practices of basic office environment
    • Knowledge of clerical and administrative procedures and systems such as filing and record keeping
    • Organised and efficient
    • Ability to work on own initiative and as part of a larger team
    • Excellent communications skills
    • Experience in working in a fast-paced, changing environment where priorities can change daily
    • Full time position 8.30am – 5pm

    • Answering Reception telephone calls
    • Greeting visitors / answering the doorbell – manage people signing in and give out security passes
    • Assisting with all Post – collecting from downstairs, sending, receiving & distributing
    • Franking Machine maintenance
    • Parking App management
    • Raising POs/ process invoices
    • Assist with IT requirements
    • Maintain Site teams/addresses
    • Assisting with H&S requests for office
    • New Starters – create key fobs, introductions around the office
    • Coffee machine – maintenance and keeping in good working order
    • Manage and order supplies of tea/coffees etc
    • Milk / fruit orders
    • Stationary orders
    • First Aider / Fire Marshall
    • Fire drills
    • Working closely with all parties, the landlord, maintenances team (Phosters), Cynergi etc
    • Office Maintenance
    • Assist all teams with general admin duties as needed
    • Assist with WL team & charity fundraisers events
