IT Procurement Manager
- Manage the full lifecycle of IT procurement, including software trials, new purchases, upgrades, replacement products, and supplier professional services.
- Ensure compliance with internal governance processes and uninterrupted service to the business.
- Maintain a centralised contract register with clear visibility of renewal dates, terms, and costs.
- Support IT leadership and Technology Business Partners in the commercial assessment of new technology solutions, ensuring value for money and compliance.
- Partner with Finance, Information Security, and Legal teams to ensure contractual obligations and governance standards are met.
- Support the National Technology Business Partners in advising the business on the demand process, ensuring all procurement-related requirements are clearly understood.
- Obtain cost approvals from the appropriate Service Line Head, Partner, or Digital Lead.
- Collaborate with the Technology Business Partner and relevant teams to ensure new technology requests are logged and routed correctly within governance processes.
- Ensure procurement activity complies with governance requirements, including any conflict checks requested by the Technology Business Partner or Governance Team.
- Request formal contracts and quotes from suppliers as required.
- Ensure all supporting documentation is completed, reviewed, and approved by Information Security, Legal, and National Technology.
- Keep systems and stakeholders updated with approvals and contract progress status.
- Request purchase orders to be raised and issued where required.
- Ensure suppliers agree to RSM UK's Supplier Code of Conduct and are set up on the accounts payable system.
- Proactively track contract expiry dates, check with the business if renewal is needed, and arrange renewals well in advance.
- Maintain oversight of software licence allocations, renewals, and usage across the firm.
- Ensure compliance with vendor licence terms, avoiding over-deployment or under-utilisation.
- Track true-up positions and forecast licence needs.
- Provide reporting on licence usage, availability, and potential cost optimisation opportunities.

- Lead contract negotiations and renewals with key suppliers, ensuring favourable terms, compliance, and value for money.
- Maintain a centralised contract register with clear visibility of renewal dates, terms, and costs.
- Build and maintain strong vendor relationships, acting as the key point of contact for IT suppliers.
- Partner with Finance, Information Security, and Legal teams to ensure contractual obligations and governance standards are met.
- Monitor software usage and licensing to optimise spend and reduce waste.
- Provide regular reporting and analysis on IT procurement spend, contract pipeline, and supplier performance.
- Support IT leadership and Technology Business Partners to support the sourcing and commercial evaluation of new technology solutions.
- Identify opportunities for cost savings, risk reduction, and process improvement within IT procurement.
- Maintain accurate records of software licence entitlements, allocations, and reassignments within the central contract register or licence management system.
- Work with IT operations and service owners to ensure licence usage aligns with contractual limits and audit requirements.
- Identify underused or redundant licences and coordinate reallocation or termination to reduce cost and improve efficiency.
- Proven experience in IT procurement, vendor management, or contract management (ideally in professional services or corporate environments).
- Strong knowledge of software licensing, SaaS models, and enterprise software contracts.
- Excellent negotiation, supplier management, and commercial skills.
- Strong understanding of procurement governance and compliance processes.
- Skilled in managing multiple stakeholders across IT, Finance, Legal, Information Security, and business service lines.
- Experience with procurement tools (e.g. Workday Strategic Sourcing, contract registers, spend trackers).
- Highly organised, detail-oriented, and proactive.
