Blue Legal is partnering with a leading organisation in the learning, development, and professional training sector to recruit an experienced Executive Personal Assistant / Executive Associate. This is a highly varied and dynamic hybrid role, combining executive support, operational coordination, event administration, and property portfolio assistance.
Supporting the Managing Director, you will play a pivotal role in ensuring the smooth delivery of client training, coaching, and consultancy programmes while also providing comprehensive administrative, organisational, and property-related support. The position requires exceptional attention to detail, strong stakeholder management skills, and the ability to manage multiple priorities in a fast-paced environment.
Candidates with a strong background in executive assistance, personal assistance, senior-level administration, operational support, and the preparation of high-quality corporate presentations and documentation will be particularly well suited to this opportunity.
Key Responsibilities
Provide proactive executive and personal assistance support to the Managing Director.
Coordinate and schedule meetings, virtual conferences, workshops, and one-to-one coaching sessions with clients and internal stakeholders.
Manage invitations, attendance tracking, and follow-up communications to maximise engagement and participation.
Liaise with consultants, facilitators, actors, and external suppliers to ensure all programme materials and pre-session requirements are completed.
Coordinate with client contacts and internal teams regarding event logistics and technology, including Zoom and Microsoft Teams testing and setup.
Organise and oversee the delivery of virtual and in-person training events, workshops, and conferences.
Ensure the seamless execution of events and sessions from planning through to completion.
Prepare contracts, invoices, presentations, reports, and other business documentation to a professional corporate standard.
Monitor outstanding payments and maintain accurate administrative records.
Provide operational and administrative support relating to the Managing Director’s property portfolio and associated activities.
Support business operations, process improvements, and ad hoc projects as required.
Candidate Profile
Proven experience in an Executive Assistant, Personal Assistant, Executive Associate, or senior administrative support role.
Highly organised with the ability to manage multiple deadlines and competing priorities.
Strong communication and stakeholder management skills, with confidence engaging at all levels.
Advanced administrative and coordination capabilities with exceptional attention to detail.
Proficient in Microsoft Office, including the creation and formatting of professional PowerPoint presentations and business documentation.
Proactive, adaptable, and capable of working independently while maintaining a high level of professionalism and discretion.
Experience supporting operational activities, events, and property-related administration would be advantageous.
