IT Project Manager

Olympia is undergoing a period of change. In 2017, the venue was bought by a consortium led by Yoo Capital and Deutsche Finance international. Work is currently underway to transform the wider estate into a cultural hub of which Olympia Events will be the central part. Job Purpose: We are seeking a proactive and experienced IT Project Manager to lead the delivery of complex IT and infrastructure projects across our growing portfolio of large-scale exhibitions, live events, and venue technology initiatives. With over 300 events annually and a new venue opening, this role plays a critical part in shaping our digital and operational capabilities.
You will take full ownership of IT projects from concept to completion—managing scope, timelines, budgets, risks, and stakeholder expectations—ensuring seamless project delivery in an evolving, fast-paced, high-profile environment.
Key responsibilities:
- Lead the full lifecycle of IT projects including infrastructure rollouts, connectivity upgrades, AV systems, and enterprise software implementations.
- Oversee end-to-end project planning, resourcing, and execution across departments and third-party vendors.
- Coordinate delivery of venue-ready IT services for all Olympia events, ensuring systems are operational and scalable.
- Manage a team of engineers to ensure the technological needs of each event are met.
- Maintain robust change control, risk management, and cost tracking processes.
- Provide internal and external project updates and dashboards to senior stakeholders.
- Support the technology strategy for our new venue launch, including IT fit-out, access control, broadcast readiness, and networking.
- Align delivery with capital project timelines, contractor activities, and operational readiness milestones.
- Act as the primary contact between technical teams, clients, contractors, and commercial teams during project delivery.
- Ensure clear communication of scope, goals, timelines, and updates to all parties.
- Manage supplier deliverables and service-level agreements (SLAs).
- Advise the commercial and F+B teams on technology requirements, feasibility, timescales, and risks.
- Develop accurate project plans with key milestones, dependencies, and contingency strategies.
- Maintain and improve project documentation templates, workflows, and delivery standards.
- Contribute to the refinement of internal delivery methodologies and project reporting tools.
- Ensure that all project deliverables meet quality standards and align with organisational goals and objectives
- Maintain comprehensive project documentation, including project scopes, objectives, and performance metrics
Person specification:
- Enthusiastic, proactive, and motivated to contribute to a fast-growing and innovative organisation.
- 5+ years’ experience delivering IT infrastructure and business systems projects in fast-paced environments.
- Strong relationship management skills, with a client-centric approach.
- Excellent interpersonal skills, with the ability to influence, motivate, and engage stakeholders at all levels.
- Proven ability to manage and prioritise a diverse and demanding workload effectively.
- Capable of managing multiple tasks and resolving operational issues in a dynamic environment.
- Experience in complex live venue, exhibitions, or large event environments is highly advantageous.
- Excellent organisational and prioritisation abilities
- Strong understanding of IT concepts, software development processes, and project management methodologies (e.g., Agile, Scrum, Waterfall).
- Strong analytical and problem-solving abilities to address challenges and make informed decisions throughout the project lifecycle.
- Relevant certifications such as PMP (Project Management Professional), PMI-ACP (Agile Certified Practitioner), or Six Sigma can be advantageous.
