Patient Coordinator - Back Office Administrator
Location: Central London - Site Based (On-Site)
Working Hours: Monday to Friday, 8:45 AM to 6:00 PM (with occasional Saturdays)
Salary: Up to £34,000 per annum

About the Role

We are seeking a confident, dedicated, and experienced Patient Coordinator to join our client team in a back office administrative capacity. This is a behind-the-scenes role focused on appointment management, and administrative support. You will play a crucial role in ensuring efficient and professional patient care from initial contact through to post-treatment follow-up.

Key Responsibilities

Patient Coordination & Administration:

  • Act as the primary contact for patient coordination via telephone and email, creating a seamless service experience from initial inquiry to treatment
  • Handle patient inquiries and provide clear, accurate information about services, treatment options, packages, and pricing as advised by clinicians
  • Maintain confidentiality and professionalism in all patient interactions
  • Support day-to-day clinic operations and coordinate closely with admin and clinical teams to avoid any misinformation

Appointment Management & Scheduling:

  • Schedule and manage patient appointments with optimal diary management, including booking, rescheduling, and cancellations
  • Coordinate appointment logistics to ensure efficient clinic operations
  • Process patient check-out procedures and payment administration
  • Manage multiple administrative tasks efficiently while maintaining high standards

Service Enhancement & Patient Support:

  • Assist with promoting products and services to ensure full booking of appointments
  • Explain treatment plans and pricing clearly and confidently to patients via phone and email
  • Contribute to maintaining high standards of service in a high-end medical environment
  • Provide administrative support for post-treatment patient care

Candidate Profile

Essential Requirements:

  • Minimum 1 year experience in patient coordination or administrative support, preferably within cosmetic surgery, aesthetics, or private medical settings
  • Strong communication skills with high standards of written and spoken English
  • Organised, reliable, and able to manage multiple tasks efficiently
  • Professional demeanour with ability to work well with clinical and administrative colleagues

Recruitment Process

Candidates will undergo a face-to-face interview followed by a three-hour paid trial to assess fit within our team and role requirements.

This position is subject to the Rehabilitation of Offenders Act 1975, requiring a Disclosure submission to the Disclosure and Barring Service (DBS) for any prior convictions.
