Administrative & Marketing Coordination Intern - London (UK)

We’re looking for a motivated and detail-oriented Administrative & Marketing Coordination Intern to support our Marketing team in managing events, awards, logistics, and daily coordination tasks based in London.
This is a great opportunity to gain hands-on experience in an international company at the crossroads of operations, marketing, and project management .
Your main responsibilities
Administrative & Coordination
- Manage event and award tracking spreadsheets (Excel / Google Sheets)
- Maintain well-organized digital and physical filing systems
Project & Time Management
- Track multiple deadlines (business cards, awards, conferences, payments, shipments)
- Prioritise tasks to meet all timelines efficiently
Data Entry & Record Keeping
- Update award and conference information accurately
- Log invoices, contracts, and shipment details systematically
- Monitor invoices, payments, and contracts
- Liaise with Finance or vendors to ensure timely processing
Logistics & Vendor Coordination
- Oversee shipping, event setup, and material distribution
- Coordinate with couriers and suppliers for marketing materials
Marketing & Design Support
-Assist in preparing and distributing marketing collateral
- Ensure brand materials are stocked, updated, and correctly distribute
- Support with design tasks (business cards, campaign visuals
- Maintain the marketing cupboard and organise shipments to other offices when needed
Specific tasks
- Awards: Keep tracking files up to date and ensure timely entries
- Conferences: Maintain conference lists and identify new opportunitie
- Event logistics: Track contracts, payments, shipping, and invoices systematically
What we’re looking for
- Highly organised and detail-oriented, with strong administrative skill
- Proactive, reliable, and comfortable managing multiple prioritie
- Skilled in logistics, event coordination, and vendor communication
- Team player with strong communication and problem-solving abilities
- Excellent written and spoken English is mandatory
- Proficient in Excel / Google Sheets and Google Drive
- Basic knowledge of Photoshop , InDesign and Canva (a plus)
- Familiarity with CRM or event management tools is a plus
