We are seeking a dynamic and dedicated workplace coordinator to join our mission-driven team, focused on providing an exceptional experience for our UHNW clients and our investment and family office teams. This role is integral to creating a welcoming and efficient office environment which is an essential part of our highly collaborative culture. Responsibilities Overview
- Oversee the day-to-day operations of our Mayfair office to ensure a seamless and enjoyable experience for team members and guests.
- Lead front-of-house relations – greeting visitors, and delivering a hospitable and professional experience.
- Ensure all office areas, are set up each morning, kept tidy throughout the day and are regularly re-set.
- Liaise with the Marketing team and support across company events, podcast recording and related activities as required.
- Provide first-line support for basic AV and video conferencing set-up in meeting rooms and office areas, and liaise with IT and facilities service providers.
- Collaborate across our Platform, Investment and Family Office teams to provide support on a wide range of operational tasks.
- Coordinate stock, kitchen, and bathroom supplies, placing weekly orders, coordinating post/ courier needs and liaising with suppliers.
- Support onboarding for new joiners, including desk setup, welcome tours, introductions, and tech coordination.
- Oversee basic facilities administration and coordinate office maintenance.
- Step in to support the team during periods of travel or leave.
Ideal Candidate
- Proven experience in guest services, hospitality, or front-of-house roles.
- Strong organisational and multitasking skills within a fast-paced office environment.
- Excellent written, verbal and interpersonal communication skills.
- Confident, outgoing, and thrives in a fun, creative, and professional setting.
- Actively using AI tools on a daily basis; open to experimenting with new technologies.
- Curious, capable, and adaptable with general tech and digital tools.
- Proficient in Microsoft 365 (Outlook, Word, Excel, Teams)
- Acts with integrity and always understands the importance of confidentiality.
- Takes pride in their work and is a bar raiser.
- Highly dependable with a proactive, “no task too small” mindset.
