HR Assistant | Faith Secondary School in Ealing

A welcoming and well-established faith secondary school in Ealing is seeking a highly organised and personable HR Assistant to join its dedicated support team. This is an excellent opportunity for an HR professional or experienced administrator looking to develop their career within a busy school environment.

The successful candidate will provide day-to-day administrative support across the school's HR function, working closely with senior leaders, staff and external organisations. You will assist with recruitment, onboarding, employee records, absence monitoring and general HR administration, while ensuring that information is handled accurately and confidentially.

About the Role

As HR Assistant, you will support the smooth running of the school's HR processes and provide a responsive service to employees and managers.

You will help coordinate recruitment campaigns, arrange interviews, prepare employment documentation and ensure that appropriate pre-employment checks are completed. You will also maintain accurate personnel records and assist with a range of employee-related queries.

The role would suit someone who is approachable, discreet and confident working with sensitive information.

Key Responsibilities

  • Provide day-to-day administrative support to the HR function.

  • Assist with recruitment campaigns and coordinate interviews.

  • Prepare contracts, offer letters and other HR documentation.

  • Support onboarding and induction processes for new employees.

  • Coordinate pre-employment checks, including DBS and safeguarding checks.

  • Maintain accurate electronic and paper personnel records.

  • Update the school's HR database and employee records.

  • Assist with monitoring staff absence and maintaining appropriate records.

  • Respond professionally to routine HR queries from staff and managers.

  • Support the organisation of staff training and development activities.

  • Assist with payroll-related administration where required.

  • Prepare HR reports, spreadsheets and correspondence.

  • Maintain strict confidentiality when handling employee information.

  • Ensure HR procedures are followed consistently and accurately.

  • Liaise with external organisations and recruitment providers where necessary.

Candidate Requirements

The ideal candidate will have previous experience in HR administration, recruitment administration or a similar administrative position . Previous experience within a school would be advantageous but is not essential.

You should have:

  • Excellent organisational and administrative skills.

  • Strong attention to detail.

  • Excellent written and verbal communication.

  • Strong Microsoft Office skills, particularly Word and Excel.

  • Experience maintaining accurate records and databases.

  • The ability to handle confidential information professionally.

  • Strong interpersonal skills and a friendly, approachable manner.

  • The ability to prioritise competing workloads.

  • A proactive and reliable approach to work.

  • The confidence to communicate with staff at all levels.

  • An understanding of HR processes and employment administration.

  • A strong commitment to safeguarding and staff wellbeing.

A CIPD qualification or relevant HR qualification would be advantageous, as would experience using an HR information system. Current Ealing HR vacancies similarly highlight HR administration experience, recruitment exposure and HR database knowledge as useful skills.
