We are now looking for a dynamic and energetic Facilities Operations Manager to join our team and support the smooth and effective delivery of facilities services across the organisation.

The Role

As Facilities Operations Manager, you will be the key link between the Facilities Helpdesk and the Lead Facilities Manager. You will ensure that workflow requests, incidents, and projects are efficiently managed, tracked, and resolved, while maintaining clear and professional communication with internal stakeholders and service providers.

You will also provide leadership and oversight to the post room staff, helping to deliver a safe, compliant, and well-maintained workplace. This is a highly collaborative role requiring excellent interpersonal skills, the ability to develop strong stakeholder relationships, and the energy to drive operational excellence.

Key Responsibilities

  • Manage and prioritise workflow requests and incidents via the Facilities Helpdesk, ensuring timely resolution.
  • Liaise with contractors, suppliers, and internal teams, monitoring trends to support continuous improvement.
  • Supervise the Facilities Coordinator, providing guidance, task allocation, and performance oversight.
  • Ensure adherence to workflows, policies, and procedures, acting as the first point of escalation for operational issues.
  • Coordinate planned maintenance, statutory checks, and remedial works.
  • Maintain accurate records and documentation.
  • Support facilities projects and office improvements, ensuring timely and budget-compliant delivery.
  • Communicate effectively with internal stakeholders on requests, projects, and incidents.
  • Report on facilities performance, SLAs, and KPIs.
  • Identify opportunities for process improvement while ensuring compliance with health, safety, accessibility, and environmental standards.

Essential Skills and Experience

  • Experience in office or facilities management administration, ideally in multi-site or corporate environments.
  • Experience supervising staff or coordinating a small team.
  • Knowledge of facilities management operations, including maintenance, statutory compliance, and CAFM systems.
  • Strong organisational, communication, and problem-solving skills.
  • Ability to manage competing priorities and work collaboratively across teams.
  • Energetic and motivated with excellent interpersonal skills and the ability to build strong stakeholder relationships.
