Executive Assistant

RIOS is an international design collective. We are actively in pursuit of wonder within the design of the built environment. We believe design is an act of optimism through which invention and ideas change the world. We practice interconnected design across architecture, placemaking, and landscape architecture to define design as a continuum.
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the Design Director of our London office. This role is ideal for a detail-oriented professional who thrives in a creative, fast-paced environment and can anticipate the needs of a senior leader while ensuring smooth day-to-day operations in office.
This position is hybrid with three days in office.
Key Responsibilities
- Manage and maintain the Director’s calendar, schedule meetings, and coordinate travel arrangements (domestic and international).
- Act as the first point of contact for the Director, managing correspondence, phone calls, and meeting requests with discretion and professionalism.
- Prepare materials, presentations, reports, and meeting agendas.
- Support project coordination by liaising with clients, consultants, and internal teams.
- Oversee document management, filing systems, and project deadlines.
- Handle confidential information with the highest level of integrity.
- Assist in organizing events, client presentations, and practice-wide activities.
- Provide administrative support for business development activities, including tracking leads and assisting with proposal submissions.
- Oversee and coordinate daily office operations, including facilities management, supplies, and vendor relationships.
- Act as the main point of contact for staff regarding office-related matters.
Requirements
Qualifications:
- Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- Minimum of 5 years of experience as an executive assistant, preferably in the architecture, design, or construction industry.
- Proven experience as an Executive Assistant, PA, or similar role, preferably within the architecture, design, or creative industries.
- Proven ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Excellent written and verbal communication skills.
- Exceptional organizational skills and attention to detail.
- Ability to work independently and as part of a team.
- Strong problem-solving skills and the ability to anticipate needs and provide solutions.
- Experience with project management and event coordination is a plus.
Salary Description
£40,000+ Depending on experience
