As our Foundation Assistant you’ll be part of the DM Foundation working closely with brilliant people across the business and reporting into the Head of Dr Martens Foundation . You’ll be right at the heart of fast‑moving projects that shape how we show up for our consumers - today and tomorrow.

WHERE YOU CONTRIBUTE

The Foundation Assistant sits within the Dr. Martens Foundation team, reporting directly into the Head of Dr. Martens Foundation. The role provides essential administrative and coordination support to ensure the smooth day-to-day running of the Foundation, with a particular focus on grants administration, payments, inbox management and scheduling.

The role works closely with internal teams such as Finance, Legal and Sustainability, as well as external partners and grantees, to support effective, compliant and well-organised Foundation operations.

The Foundation Assistant plays a key role in supporting the operational delivery of the Dr. Martens Foundation. By providing reliable administration, coordination and organisational support, the role helps ensure that grants processes, financial payments and communications run efficiently and accurately.

This role is critical in creating structure, consistency and responsiveness across Foundation activity, enabling the Head of Dr. Martens Foundation to focus on strategy, partnerships and impact.

CORE ACCOUNTABILITIES

As our Foundations Assistant, you will be responsible for:

  • Grants & Financial Administration: Support end‑to‑end grants administration, including application logging, record‑keeping, milestone tracking, and coordination of grant payments with Finance, flagging issues or discrepancies as needed.
  • Communications, Inbox & Diary Management: Manage the Foundation inbox and routine correspondence, ensuring timely responses and escalation where required, and provide diary and scheduling support for the Head of the Foundation.
  • Records, Governance & Coordination: Maintain accurate, organised records across grants, payments and correspondence, supporting audit, reporting and governance requirements, and coordinating with internal teams and external partners.
  • Process Improvement & Ways of Working: Support efficient day‑to‑day operations by identifying opportunities to improve administrative processes, organisation and overall ways of working.

KEY SKILLS & CAPABILITIES

Put simply, the key things we’re looking for are:

  • Administrative Experience & Organisation: Experience in an administrative or coordination role (ideally in a charity or purpose‑led setting), with strong organisation, accuracy and attention to detail across data, records and payments.
  • Time Management & Process Mindset: Able to prioritise effectively within a part‑time schedule, with a structured, methodical and reliable approach to work and continuous improvement.
  • Communication, Collaboration & Discretion: Clear, professional written and verbal communication skills, able to work confidently with internal teams and external partners while handling sensitive information with discretion.
  • Purpose Alignment: A genuine interest in social impact and alignment with the mission and values of the Dr. Martens Foundation
