The Opportunity

We are seeking a highly organized and efficient Administrative Assistant to join the heart of a thriving primary school office. In this role, you will provide the essential clerical support that keeps the school running smoothly, ensuring that teachers can focus on the classroom while families receive the highest standard of service.
The Role & Department
You will be a key member of the school’s front-office team, reporting directly to the School Business Manager.
This role is central to the daily operation of the school, requiring a candidate who can handle a variety of tasks—from data entry and filing to managing parental inquiries.
You will work in a supportive, collaborative environment where the administrative team is recognized as a vital pillar of the school community.
The school provides a structured setting with opportunities to gain expertise in specialized educational management systems.
Core Responsibilities
Data Management: Maintaining accurate student and staff records on the school’s Management Information System ( SIMS or Arbor ), ensuring all data is kept up to date in line with GDPR.
Attendance Tracking: Monitoring daily registers, following up on unexplained absences with parents, and producing weekly attendance reports for the Senior Leadership Team.
Financial Administration: Assisting with the processing of invoices, managing petty cash, and overseeing school meal payments via platforms like ParentPay or sQuid .
General Clerical Duties: Managing the school’s central filing systems, drafting newsletters, and coordinating the distribution of school-wide communications.
Event Coordination: Providing administrative support for school trips, parent evenings, and extracurricular clubs, including the collection of consent forms and logistics planning.
The Successful Candidate We are looking for an individual with an eye for detail and a commitment to the smooth running of a busy educational environment. Requirements include:
Experience: Previous experience in an administrative or clerical role is essential; experience within a primary school setting is highly desirable.
Technical Skills: Proficiency in the Microsoft Office Suite (Word, Excel, Outlook) and the ability to learn school-specific software quickly.
Communication: Excellent written and verbal communication skills, with the ability to interact professionally with staff, parents, and local authorities.
Organizational Ability: The capacity to prioritize a heavy workload and meet tight deadlines while maintaining a high level of accuracy.
