THE ROLE

As a Buying Admin Assistant, you'll be responsible for supporting the buying team by ensuring wholesale orders and intake management are maintained accurately and efficiently. You'll communicate regularly with wholesale partners, suppliers, and the buying and merchandising teams to ensure orders are fulfilled in a timely manner, including managing any necessary amendments. You will manage the critical path for wholesale and Debenhams with the support of your Assistant Buyer / Buyer.

This role will sit within the Debenhams team.

WHAT YOU'LL BE DOING

Wholesale:

· Raising and amending orders

· Communicating buying queries to buying team and wholesale partners

· Transferring data from suppliers to wholesale partners such as fabric comps and imagery

· Chasing critical path and ensuring orders are on time

· Sign off preparation

Intake and Supplier Management:

· Liaising regularly with suppliers to confirm delivery dates and ensure orders are on track against the critical path

· Building an understanding of supplier delivery terms such as FOB (Freight On Board)

· Supporting the Assistant Buyer in managing supplier relationships and ensuring delivery deadlines are met

· Collating and sharing intake updates with the buying and merchandising teams

PIM/ Order App:

• Has a good understanding of the systems and be able to make relevant amendments using PIM/ Order App. 

• Able to amend Purchase Orders (PO) and find supplier information in the PO. 

Reports:

• Contributes towards trade meetings with best and worst seller performance information. 

• Understands the range monitor and where to find territory sales. 

• Monitors unpublished stock report. 

• Developing an understanding of the departments and each wholesaler partners best and worst

• Great communication skills. 

• Natural planner and highly organised. 

• Can think about the bigger picture, as well as the small details. 

• Thrives in a fast-paced environment and able to adapt to situations
• Experience in numbers-based admin
