Executive Assistant

Are you an exceptional administrative professional looking for a new challenge? We're seeking a highly skilled and proactive Executive Assistant to support the directors of a large, complex organization. You'll be working closely with the Directorate Leadership Team, providing comprehensive, confidential, and professional support.

What you'll do

As the Executive Assistant, your main goal will be to provide high-level support that enables the Directors to meet their objectives and perform at their best.

Your key responsibilities will include:

  • Expertly manage schedules by coordinating busy diaries, arranging appointments, and organizing meetings and events.

  • Handle communications by managing mail and emails, responding to routine inquiries on your own initiative, or delegating tasks to other team members. You'll also maintain professional communications with internal and external customers.

  • Prepare documents such as PowerPoint presentations, meeting agendas, and reports. You will also take meeting minutes and assist with research and preparation for committee papers.

  • Ensure a smooth operation of the directors' office with a high degree of diplomacy and confidentiality.

  • Provide a professional point of contact for both internal and external customers, handling all phone and post inquiries.

  • Work collaboratively with other Executive Assistants across the organization to ensure consistency and provide seamless service.

What you'll need

We're looking for someone with advanced knowledge of standard office software, including Word, PowerPoint, and Excel.

You should also have:

  • Experience in a support role within a large, complex organization, with a proven track record of working effectively in a team. Public sector experience is preferred.

  • Demonstrable experience of understanding a business function to make key support decisions on behalf of senior leaders.

  • Excellent organizational skills and the ability to manage competing demands and priorities.

  • A solution-focused approach to problem-solving and excellent relationship-building skills.

  • Strong communication skills , both written and verbal, with a keen attention to detail.
