Philanthropic Partnerships Coordinator Location: United Kingdom - Hybrid / Remote, with occasional travel to the office Contract: 12 month fixed term (with possible extension, subject to funding and performance) FTE Salary: UK £40,000 to £45,000 (depending on experience) Working pattern: Part-Time (3 days per week) actual salary will be pro-rated accordingly. About FILE The Foundation for International Law for the Environment (FILE) is a not-for-profit philanthropic organisation working to accelerate legal action on climate change. Through grant-making and in-house legal expertise, we empower our partners to deliver strategic, innovative legal interventions and we support lawyers in their own countries to bring their own cases. Legal action can unlock the systemic changes in finance, policy and social systems needed to protect all of us from climate change. The power of the law is both direct (changing policy and practice) and indirect (signalling the wider shifts taking place across these systems). FILE is a ‘regrantor’ - this means we do not bring legal action in our own name. We receive grants from our philanthropic donors and make onwards grants to partners who align with FILE’s charitable aims and purposes. We do not seek to make any profit from our activities either in a relevant financial year or in the longer term. The Role As Philanthropic Partnerships Coordinator, you will support the day-to-day coordination of fundraising and funder engagement activities, working as part of the Philanthropic Partnerships team. You'll collaborate across the organisation with colleagues in finance, legal, strategy, impact & learning, and operations to keep workflows running smoothly and ensure funders receive timely, compelling communications. This is a hands-on coordination role suited to someone who is organised, relationship-oriented, a strong communicator and comfortable working across multiple teams and priorities. Key Responsibilities Reporting to the Philanthropic Partnerships Lead, your main responsibilities will include: Funder communications and reporting (40%) Co-ordinate and draft compelling communications content to engage and steward funders and prospects, including emails, memos and written updates Co-ordinate collection and drafting of content for funder impact reporting, including liaison with colleagues in Impact & Learning, Finance and Strategy teams, and management of scheduling, key processes, sign off and distribution Contribute to and co-ordinate funding proposals, including drafting of written content, management of processes, and sign offs Funding processes, systems and administration (40%) Manage funder CRM, ensuring that records are up to date, and lead across the team to implement and improve workflows, reporting and analysis to support the team’s work Manage key funding processes including internal contracting, funder payment schedules and funding kick off calls, liaising with colleagues in Finance, Impact & Learning and funder contacts as required Manage funder engagement calendar, ensuring that deliverables are tracked and liaising with cross team colleagues to co-ordinate timelines Portfolio & Team Support (20%) Collaborate with Philanthropic Partnerships team on funder engagement planning and delivery, including co-ordination of meetings, workshops and convenings Collaborate with cross team EAs to plan and co-ordinate internal and external meetings and other outputs Produce materials to support funder meetings and touchpoints, including research, briefings, memos, presentations and notes. Contribute towards identification, qualification and cultivation of new funding prospects through research and content creation Support other portfolio teams as required. Contribute to improved processes, systems, and ways of working. Key Outcomes High quality co-ordination across key systems, processes and workflow to ensure effective delivery and meet deadlines Compelling communications for funders to engage with FILE’s work and understand their impact Support for delivery of engaging funder experiences, including effective meetings, workshops and convenings About you We know that long lists of criteria can be discouraging and that some candidates will not apply for a role unless they feel they are 100% qualified. Essential criteria Experience in fundraising, communications, non-profit administration, or programme coordination Good understanding of funding administration, grant management processes, and donor data management Familiarity with CRM or grant management systems - desirable but not essential Experience supporting financial tracking, budget monitoring, or reporting Proficient in MS Office; comfortable working with databases and digital tools Communicates clearly and confidently in writing and verbally, including the ability to coordinate and edit compelling content for funder audiences Highly organised, with strong coordination skills and the ability to manage multiple priorities, deadlines, and workflows simultaneously Builds collaborative relationships across teams and with external partners, including across different cultures and time zones Monitors progress, flags risks early, and follows through to keep processes and reporting on track Works proactively with a good level of initiative and self-motivation, requiring minimal supervision Adapts readily to shifting priorities and changing needs across a busy, collaborative team Location We are advertising this role for candidates based (and with the right to work) in the UK and in the Netherlands.
