Executive Assistant (supporting the Executive Team)
The Role
This is a shared EA role supporting our Executive Team.
We’re looking for someone that keeps four high-output leaders sharp, protected, and a step ahead. You'll manage time, reduce noise, and act as a trusted right hand across three different working styles. Discreet, commercially aware, and genuinely proactive.
This role has real weight. You'll be one of very few people with a full view of how the business actually operates, and we're looking for someone who treats that access with care.
What You'll Do
Diary & Time Management
Proactive calendar management across the exec team - protecting focus time, joining the dots between competing priorities, and making sure no one's walking into their own meeting unprepared.
Manage scheduling across time zones as we scale into new markets.
Brief executives before key meetings so they’re prepared and not scrambling.
Communications
Inbox triage and management - flagging what needs attention, drafting responses where appropriate, keeping nothing important buried.
Calm, professional first point of contact on behalf of leadership where needed.
Sensitive comms handled with discretion as standard.
Travel & Logistics
End-to-end travel ownership - flights, hotels, transfers, itineraries - with the details already thought through.
Expenses coordinated and reconciled.
Operations & Projects
Support exec-level projects - tracking actions, following up, keeping moving parts moving.
Capture decisions and actions from key meetings and make sure they don't evaporate - not formal minutes, but a reliable system that keeps leadership accountable to what was agreed.
Prepare materials for leadership meetings, board updates, and external commitments, including coordinating pre-reads and formatting decks when conversations require it.
Contract and NDA management - routing for signature, tracking status, chasing countersignatures. The unglamorous stuff that matters more than people think.
Events & Offsites
Own coordination of leadership offsites, client entertaining, and team events end-to-end - venue, logistics, run-of-show, and whatever needs to exist for it to actually work.
Relationship Management
Build trusted relationships with key clients, partners, and stakeholders on behalf of the exec team.
Handle inbound requests well, knowing what to route, what to resolve, and what genuinely needs someone’s attention.
About You
You've been an EA before, ideally supporting more than one senior leader at once.
You’re proactive and you anticipate. You don't wait to be told.
You can hold different working styles in your head simultaneously and not lose the thread.
Discretion isn't a skill you list on your CV - it's just how you operate.
Fast-paced, high-change environments don't faze you. Agency or startup background is a real advantage.
Ideally a passion for social and creative work.
