Administrator | Vibrant & Inclusive Secondary School |...
CORE PURPOSE
We are seeking an organized, efficient, and proactive Administrator to provide comprehensive administrative support across our school office. Working closely with the Office Manager, Senior Leadership Team, and teaching staff, the successful candidate will handle daily pupil and parent communications, maintain student databases, process correspondence, and ensure administrative operations run smoothly every day.
THE SCHOOL
Set in a bright, modern Inner London campus featuring high-tech administrative suites, creative learning hubs, and vibrant student spaces, this energetic secondary school serves a diverse community of over 900 pupils. The school combines high academic aspirations with a warm, inclusive ethos. The school office functions as the welcoming heart of the campus, utilizing cloud-based management systems and digital communication channels to deliver efficient, friendly, and professional support to pupils, staff, and visitors.
KEY TASKS & DAILY OPERATIONS
Administrative Support: Execute daily office operations, including handling student inquiries, managing correspondence, preparing report packs, and maintaining digital filing systems.
Student Data & Attendance Management: Update pupil records on the school Management Information System (MIS), log attendance data, track absences, and process student registration details.
Parent & Visitor Communications: Respond to parent inquiries via phone and email, assist with front-of-house requests, and distribute school-wide notices and newsletters.
School Event & Trip Logistics: Assist with logistics for open evenings, parent consultations, and educational visits, coordinating parent consent forms and booking details.
Reproduction & Document Preparation: Assist teaching staff with central printing, photocopying, document formatting, and ordering office and classroom supplies.
PROFILE REQUIREMENTS
Qualifications: NVQ Level 2/3 in Business Administration, Customer Service, or equivalent qualification/experience. GCSE Grade 4/C or above in English and Mathematics.
Experience: Proven experience in an administrative support role—ideally within a secondary school, primary school, local authority, or busy public sector office.
Skills: Excellent written and verbal communication, high computer literacy (MS Office suite, Google Workspace, and school MIS software such as SIMS, Arbor, or Bromcom), strong attention to detail, and multi-tasking skills under pressure.
REGIONAL CONTEXT
Local Area & Community: Based in the vibrant East London borough of Tower Hamlets, the school serves an ambitious, diverse, and culturally rich community. Home to iconic historic sites such as the Tower of London, bustling markets like Brick Lane and Spitalfields, and scenic waterside spaces along Victoria Park and the Limehouse Basin, Tower Hamlets offers an exciting environment for staff and families.
Transport & Commuting: Tower Hamlets features exceptional public transport infrastructure. Bounded by key thoroughfares including the A11 and A13 corridors, regional connectivity is seamless via the Elizabeth line, London Underground (Central, District, and Hammersmith & City lines), Docklands Light Railway (DLR), London Overground, and comprehensive London Bus routes connecting directly into the City and West End.
