Executive Assistant to ISSB Chair
Location: London, UK (hybrid working)
Duration: 18mth fixed term contract, full-time
Reports to: ISSB Chair
Purpose: This fixed term contract is a pivotal role that directly supports the ISSB Chair, working in close collaboration with the ISSB Chair's Counsellor. It requires seamless coordination with colleagues across multiple global locations, fostering effective communication and teamwork within the IFRS Foundation and ISSB. The position demands a high degree of professionalism, adaptability and cultural sensitivity to navigate the complexities of an international organisation dedicated to sustainability standards.
Principal accountabilities:
- Diary management: Extensive, planning, proactive, flexible diary management in a rigorous manner and across multiple time zones with frequent and strong follow-up, and close coordination with the Chair’s Counsellor. The objective is to optimise the ISSB Chair time and ensure his smooth day-to-day external engagements and collaborative work within the IFRS Foundation and ISSB.
- Punctuality and time-keeping: Ensure, based on the situation, that the ISSB Chair is timely for meetings, engagements, or travel commitments.
- Complex travel arrangements and logistics: Coordinate dynamic domestic and international travel plans, including transport and accommodation bookings in line with the ISSB Chair's preferences. Facilitate visa procurement and other necessary travel documentation, ensuring compliance with the Foundation's travel policy. Additional responsibilities include flight check-in, monitoring transportation logistics, and adapting schedules in real-time in case of delays.
- Meeting coordination: Oversee the logistical aspects of virtual and in-person meetings: verify dial-in details, reserve appropriate meeting spaces, and manage restaurant bookings as required.
- IT support and troubleshooting: Provide proactive IT assistance, such as setting up virtual meetings and resolving technical issues, while liaising with the helpdesk when necessary.
- Visitor reception: Greet and facilitate the reception of external visitors as applicable.
- Expense management and reporting : Process professional expenses of the ISSB Chair monthly, and pre-approve travel and expense claims for the ISSB Chair's direct reports.
- Administrative tasks: Handle all administrative duties, including managing correspondence, drafting responses, obtaining approvals for requests requiring signatures, document management, note compilation, contact updates, and business card handling.
- Internal and external stakeholder engagement : Liaise with internal staff (eg other support staff, senior management, board members and Trustees) and external stakeholders at all levels (eg officials from government, senior figures from regulators, the accounting profession and other international bodies).
Skills, attributes and experience required
- Extensive and proven experience of supporting a senior-level executive (Executive Committee Member, or higher) in an international environment and managing extremely complex travel and meeting arrangements across time zones is essential.
- Exceptional reliability, planning, organisational and administrative skills with frequent follow-up.
- High level of integrity and professionalism; ability to be discrete and manage confidential or sensitive information.
- Ability to work collegially and effectively with staff and stakeholders at all levels, both in-person and remotely.
- Excellent command of written and spoken English is essential. French language proficiency is a plus.
- Resourceful and proactive approach, ability to work flexibly and manage multiple and diverse responsibilities, prioritise workload appropriately, respond to conflicting demands on an urgent and ad-hoc basis, whilst maintaining composure and a high level of attention to detail.
- Proficiency in MS Office (Outlook, Word, Excel, and PowerPoint) and Adobe Reader is required.
- Proficiency in iOS is appreciated.
