Japanese Speaking ADMINISTRATOR/SECRETARY - Responsibilities:
- Support Business divisions/Corporate departments as required, to include settling employee expenses through SAP/Concur System, arranging meetings and conferences internally & externally, arranging various events and logistics for VIP visitors.
- Develop and maintain regular contact with travel agents, hotels, chauffeurs, restaurants and airlines.
- Negotiate corporate rates with vendors, collate information centrally and disseminate to business divisions.
- Administer the company Golf Club membership and associated activities, liaising with the golf clubs, external guests and members for monthly events, and ensure members are added/removed as required.
- Undertake local ad-hoc department specific work functions/events as may reasonably be required. (Tasks may include assisting with event organizing or supporting Company House activities etc)
- Cover the responsibilities of colleagues during team member absences and peak work volumes
- Provide efficient administrative services in the department including filing / scanning / dispatching documents, maintaining the customer lists.
Japanese Speaking ADMINISTRATOR/SECRETARY - Requirements:
- Confidential and discreet in handling sensitive information
- Demonstrable experience of having delivered administrative support
- Extensive experience in outlook diary management to include scheduling/rescheduling meetings and notifying stakeholders.
- Excellent written and verbal communication skills, including the ability to convey event details, objectives, and updates effectively to internal teams and external stakeholders.
- Articulate with professional written and verbal English and Japanese language skills.
- Establishes and builds effective working relationships with others – in immediate team and with stakeholders
- Works on own initiative and without close supervision
- Multi-tasks and manages competing activities simultaneously and within deadlines
- Adapts easily to changing priorities and works calmly and methodically under pressure
- Microsoft Office Word/Excel to intermediate level or above, Powerpoint to advanced level
- Excellent time management and organisation skills
- A strong communicator, who updates team members on activities and provides seamless work handovers
- Accurate with strong attention to detail
