Facilities Manager – Flexible Managed Office Space at The Crown Estate

Purpose of Role: The Facilities Manager (FM) will be directly responsible for delivering exceptional facilities services to customers in one or more managed space buildings. This role involves implementing best practice standards defined by The Crown Estate and ensuring alignment with the business objectives of the investment. The FM will set the standard in all aspects of building operations and provide outstanding customer service.

Context of opportunity / Main accountabilities:

As a Facilities Manager, you will lead the day-to-day operations of our managed space buildings, ensuring compliance with health and safety regulations and delivering a first-class customer experience. You will manage soft services, support customer requests and drive sustainability initiatives. Your role will involve close collaboration with service partners, suppliers, and internal teams to ensure seamless service delivery.

Key Responsibilities

  • Lead a safety-first approach in all aspects of building compliance, acting as the Responsible Person for Health & Safety and Fire Safety.

  • Oversee daily operations and act as the first point of contact for customers.

  • Manage compliance inspections and ensure timely completion of actions to maintain statutory standards.

  • Prepare and manage budgets, monitor financial performance, and support quarterly variance reporting.

  • Raise purchase orders for all contracts and reactive maintenance works.

  • Deliver operational facilities to meet KPIs and agreed business initiatives.

  • Be on call for emergencies and lead incident response, ensuring safety remains the priority.

  • Develop and maintain customer welcome packs and other site related documents.

  • Organise and coordinate fire evacuation and incident drills, and maintain disaster recovery and business continuity plans.

  • Manage contractors, review risk assessments and method statements (RAMS), and issue permits to work for hazardous activities.

  • Monitor vacant properties with support of Community Managers and assist with insurance claims and remedial works.

  • Liaise with building surveyors, architects, and consultants on major works, including lifecycle and fabric projects.

  • Drive sustainability initiatives, including energy monitoring and reporting

  • Utilise CAFM systems and data-driven insights to optimise maintenance schedules and operational efficiency.

Most important skills based requirements:

  • Minimum 5 years’ experience in facilities management within commercial and/or flexible workspace environments.

  • Strong technical knowledge of mechanical and electrical systems in property management.

  • Excellent organisational and communication skills, both verbal and written.

  • Commercial awareness and ability to identify and develop business improvement opportunities.

  • Strong stakeholder management skills and ability to relay business ideas effectively.

  • Proven ability to manage budgets, contracts, and supplier relationships.

  • Familiarity with heating, ventilation, mechanical, and electrical equipment and associated maintenance requirements.

  • Knowledge of safety, quality, and cost risks in facilities operations.

  • Advocate of change and supportive in driving operational business improvements.

  • Relevant or working towards qualifications such as IOSH Managing Safely, IWFM Level 3, NEBOSH National General Certificate, or Building Services Engineering Certificate.
