The role will be focused on providing core administrative support to the HR Department. You will need to have strong communication skills and high levels of accuracy and organisation. The HR department is a small team who pride themselves on providing an exemplary service to the business and you will need to share the same work ethic and passion for HR. As part of this role, this individual will also support the Head Office reception team as and when required, covering lunch hours each day and periods of annual leave.
Requirements
RECEPTION DESK
- Meet and greet all guests in a pleasant and friendly manner
- Ensure all guests sign in to the Visitors Book, announcing their arrival to the relevant personnel
- Manage Reception Area, keeping the area clean and tidy
- Open / close the switchboard on a daily basis, ensuring that all messages are retrieved from the answer phone service and communicated to the appropriate person
MAINTENANCE OF HR DATABASE (SD WORX)
- Approving/declining new starters, CC forms and leavers
- Assist inputting New Joiner information into the system
- Update the HR system with employee information
- Responsible for changing ‘reports to’ when a new manager joins the Company
NEW STARTER PROCESS
- Responsible for referencing Retail Managers before commencing employment
- Responsible for ensuring new starter personnel files are complete within Probationary Period (fully reference, returned signed contract, eligibility to work documents) and filed accordingly
- HR System training- Head Office (alternate with HR Administrator)
- Logging your area’s pension enrolment forms
- Issuing contracts to temporary staff members
CONTRACTUAL CHANGES
- Responsible for issue of changes to contract within 2 weeks of receipt of contractual change and to monitor returned signed changes to contracts
- Check CC forms have gone through on the system (monthly)
PAYROLL CUT OFF
- Ensuring at the end of ‘HR Payroll Cut off’ you assist with the communication to Regional Managers
- Liaise with Payroll on queries at cut off and raise any system issues before cut off ends
- Ensure actions are taken to prevent overpayments
- Responsible for chasing for missing paperwork at payroll cut off (your area new starters)
- Assist with payroll cut of checks and cut off reports
GENERAL OFFICE TASKS
- Support with the maintenance of the HR Helpdesk email inbox
- Answering telephone queries and assisting employees/managers
