The Studio Coordinator plays a key role in the daily operations of the Design Studios (Creative and Technical) at Creation. This position bridges the creative and administrative sides of the department, ensuring seamless workflow, resource allocation, communication of design intent, resource management and team support. You’ll be the linchpin that holds everything together—from scheduling and documentation to project tracking and team coordination.
What you will be responsible for
Lead with resource planning and allocation across the teams (freelance, full time)
Track project timelines, deliverables, and deadlines across workload.
Liaise with Producers, Account Managers, Production Managers and other departments to gather briefs and ensure clarity of requirements.
Act as the primary point of contact for departmental administration via existing project management tools.
Assist team with clearly communicating design intent via creative moodboards, presentation building and design specification documentation.
Support in streamlining all administrative processes to ensure the studio team consistently operates at the highest level of efficiency.
Provide administrative and coordination support to the Head of Department, handling confidential and sensitive information, including financial and budget data, recruitment processes, and freelancer records.
Manage and maintain team calendars, meetings, and studio schedules.
Maintain departmental documents, design archives, templates, and resources.
Foster a positive and productive environment by coordinating the day-to-day studio needs (e.g. supplies, tech support, workspace logistics).
Assist with financial and procurement requirements relating to creative resources and freelancers.
Basic London office (20pax) administration.
This role requires someone who is upbeat, self-motivated, and enjoys working methodically and efficiently in a high-pressure environment.
What we are looking for
We’re looking for a proactive individual with a passion for design, exceptional communication and organisational skills, who is capable of managing a wide range of responsibilities in a fast-paced, dynamic environment. Flexibility is key - due to the nature of the industry you’ll occasionally be required to work weekends or respond to time-sensitive updates.
At least 2 years of experience in an administrative or coordinator role, ideally within a creative agency, technical design or experiential events setting.
Detail-oriented with strong admin and time management skills - juggling multiple moving parts comes naturally to you.
Experience interpreting creative and technical designs and working in basic graphic design software (Google Suite, Adobe Creative Cloud).
Resilient and adaptable - you stay cool under pressure, find solutions quickly whilst being a level-headed, diplomatic problem-solver with commercial awareness and an ability to multitask, prioritise and organise workload.
Confidentiality and Discretion – ability to handle sensitive and confidential information responsibly and professionally.
A clear communicator who can confidently manage external partners and internal stakeholders.
Enthusiasm for live events, experiential design and creative production.
Confident IT skills (Google Suite preferable)
