We're now looking for a sharp, curious, and driven Founder's Executive Assistant to join our small team and work directly with our founders to help take Shellworks to the next level. If you thrive on variety, love solving hard problems, and get energy from jumping in wherever needed, this role might be for you.

Our Ideal Candidate

Must-haves:

  • 2–3 years of experience supporting founders or senior executives in a fast-paced startup or scale-up environment.

  • Proven experience managing complex calendars, travel, and logistics with high attention to detail.

  • Strong written and verbal communication skills; able to liaise confidently across teams.

  • Experience coordinating HR, legal, and finance administrative tasks.

  • Highly proactive, organised, and able to prioritise effectively in a dynamic environment.

Nice-to-haves:

  • Familiarity with HR or finance software such as Xero, CharlieHR, or PayCircle.

  • Experience managing internal culture initiatives (e.g., team lunches, offsites, onboarding).

  • Exposure to legal admin processes (e.g., NDAs).

  • Experience managing shared inboxes or social media accounts (Instagram, business development).

  • Event or project coordination experience.

Key Responsibilities

Executive Support

  • Manage complex calendars, schedule meetings, and handle travel coordination for both founders.

  • Support with personal logistics that overlap professional life (e.g., visas, medical appointments).

  • Anticipate founders’ needs and proactively manage competing priorities.

Operations & Administration

  • Own HR admin processes including onboarding, milestones, and internal events.

  • Manage day-to-day office logistics, ensuring the team has what they need to operate smoothly.

  • Support legal admin tasks including NDAs and document filing.

Finance & Business Development

  • Manage multiple inboxes (i.e finance, business development, general inquiries).

  • Monitor the business development inbox and Instagram DMs, responding professionally and flagging priorities.

  • Coordinate with external finance and business development teams when required.

Culture & Communication

  • Plan and execute team lunches, celebrations, and social events to maintain company culture.

  • Friendly, trusted point of contact for the broader team.
