Executive Assistant
We are seeking a highly organised, proactive Float Executive Assistant to support multiple senior professionals within Finance Services. This role is ideal for a flexible, detail-oriented administrative professional who thrives in a fast-paced, high-performance environment and can seamlessly adapt to changing priorities and coverage needs.
As a Float Executive Assistant, you will provide short- and long-term coverage across teams, ensuring continuity of support during absences, transitions, or periods of increased workload.
Key Responsibilities
- Provide comprehensive administrative support to multiple people
- Manage complex calendars, including scheduling across multiple time zones and coordinating internal and external meetings
- Handle extensive travel arrangements (domestic and international), including itineraries, visas, and expense reconciliation
- Monitor and prioritise high-volume email traffic on behalf of executives when required
- Support deal-related activity by coordinating meetings, deadlines, and materials
- Step in quickly to support new teams, learning preferences and workflows efficiently
- Assist with ad hoc projects and administrative initiatives as needed
Qualifications & Experience
- 3 years of Executive Assistant experience, ideally within investment banking, financial services, or a professional services environment
- Proven experience supporting multiple senior stakeholders simultaneously
- Exceptional organisational, time-management, and multitasking skills
- Strong written and verbal communication abilities
- Advanced proficiency in Microsoft Outlook, PowerPoint, Word, and Excel
- High level of discretion, judgment, and professionalism
- Ability to remain calm and effective under pressure and tight deadlines
- Flexible, adaptable, and comfortable with changing assignments and priorities
