Property Paralegal/Legal Assistant
We are seeking a technically competent Property Paralegal/Legal Assistant to join our client's Property team in Aldgate. The successful candidate will assist fee-earners in managing a varied caseload of residential property matters, providing high-quality legal and administrative support, proactive case progression and excellent client care within a collaborative firm that values continuous professional development and high standards.
This role will involve supporting transactions including sales, purchases, remortgages, transfers of equity and leasehold matters, as well as post-completion tasks such as SDLT returns, Land Registry applications and dealing with lender requirements. The post offers opportunities for professional development, involvement in process improvement and hybrid working after successful completion of the probationary period.
Key responsibilities:
Support fee-earners in the management of a mixed-complexity caseload of residential property matters from file opening through to completion and post-completion, ensuring timely progression and excellent client service.
Prepare and review transaction paperwork including client care letters, draft contracts, transfer deeds, completion statements, SDLT returns and Land Registry forms (e.g. AP1), ensuring accuracy and compliance with firm procedures.
Liaise with clients, estate agents, mortgage lenders, brokers and other third parties to obtain signatures, documentation, mortgage offers and clearance of conditions; chase outstanding information and progress matters to completion.
Assist with remortgage and lender requirements, prepare and check completion statements, manage client monies in line with SRA and firm rules and assist with post-completion tasks such as submitting SDLT returns and lodging documents at the Land Registry.
Undertake client care and AML checks, verify identity and source of funds, maintain audit-ready file records and ensure compliance with the firm’s risk and file management protocols.
Use and maintain case management systems and digital precedents; open and close files, record time accurately and assist with billing and fee estimate preparation where required.
Contribute to the development and maintenance of precedents, checklists and workflows; identify opportunities to streamline processes and improve the client experience.
Provide support and guidance to more junior administrators where appropriate and participate in training activities to develop technical and procedural knowledge within the team.
Key skills and experience required:
Minimum of 12 months' experience as a paralegal or legal assistant within a residential property team or conveyancing environment, with hands-on experience of sales, purchases and remortgages.
Practical knowledge of Land Registry processes, SDLT requirements and lender procedures; accuracy in preparing and checking transaction documentation.
Strong client care and communication skills with the ability to manage expectations, liaise confidently with clients and third parties and maintain professional relationships.
Familiarity with AML requirements, ID verification and maintaining compliant, audit-ready files; a meticulous approach to record-keeping and risk management.
Organised and able to manage competing priorities and a busy caseload; strong attention to detail and ability to work to deadlines under supervision.
Ability to work collaboratively within a team, support colleagues and contribute to a positive working culture.
Proficiency with case management systems and standard office IT applications; willingness to adopt and help embed digital workflows and precedents.
Relevant legal qualification or paralegal certification desirable; commitment to CPD and progression within property practice.
