Bid Coordinator
Job Description
Due to an internal promotion, we have an exciting opportunity for a Bid Coordinator to join our successful and growing Bid Team at Aramark UK.
This role is perfect for someone who is highly organised, enjoys working with people, loves bringing structure to complex projects, and wants to develop a career within business development, sales support, or bid management.
Our Bid Team plays a key role in securing new business and retaining some of the UK's most exciting catering, hospitality, workplace, education, defence, and facilities management contracts. No two days are the same. One day you could be coordinating a bid for a major sporting venue, the next supporting a university, workplace client, or public sector opportunity.
You'll be joining a supportive, high-performing team that genuinely enjoys working together. We celebrate success, learn from each other, share knowledge, and are passionate about helping team members develop and progress. In fact, this vacancy exists because one of our team members has recently been promoted, demonstrating the career opportunities available within Aramark.
What's in it for you:
- A predominantly Home-based role with quarterly in-person meetings required, usually held at one of our stunning client locations
- Competitive salary and bonus opportunity
- Opportunity to work with a friendly, experienced, and supportive team
- Clear development pathway into Senior Bid Coordinator or Bid Manager roles
- Full training on our bid processes, systems, and tools
- Generous holiday allowance with the option to buy additional days
- Pension scheme and life assurance
- Access to our employee benefits platform, offering discounts across hundreds of retailers and leisure providers
- Wellbeing Hub including virtual GP access, mental wellbeing resources, fitness content, and financial advice
- Employee Assistance Programme
Job Responsibilities
As Bid Coordinator, you'll be at the heart of our business development activity, helping to coordinate opportunities from initial enquiry through to contract award.
You'll work closely with Bid Managers, Business Development Managers, Operations Directors, Finance, HR, ESG, Legal, and many other specialist teams across the business.
Key responsibilities include:
- Supporting the coordination of tender and proposal opportunities from enquiry through to submission
- Monitoring procurement portals and tender platforms for new opportunities and updates
- Coordinating clarification questions and responses
- Supporting the preparation, formatting, quality checking, and submission of bid responses
- Maintaining accurate opportunity and pipeline information within our CRM
- Managing shared team mailboxes and stakeholder communications
- Supporting governance, compliance, and document control processes
- Identifying opportunities to improve reporting, systems, and team processes
Key Requirements:
- Experience in a Bid Coordinator, Bid Administrator, Sales Administrator, Commercial Administrator, Proposal Coordinator, or similar role
- Strong organisational and administrative skills
- Excellent communication skills
- Experience using Microsoft Office, particularly Word, Excel, Outlook, PowerPoint, and Teams
- Experience maintaining CRM systems and reporting data
- Experience using SharePoint for document management
- Strong attention to detail and accuracy
