Key Duties for the EA

  • Manage the calendar of appointments for members of the SLT composing and preparing correspondence which at times will be confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel related meetings.
  • Plan, coordinate, and ensure the executives’ schedules are followed and respected.
  • Acting as a ‘gatekeeper’ and ‘gateway’ role, for access to the SLT’s time and office.
  • Provide a bridge for smooth communication between the Executives and internal departments, demonstrating leadership to maintain credibility, trust, and support with senior leadership team members.
  • Undertake some personal duties for the CEO
  • Work closely and effectively with the SLT to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Provide management of a variety of special projects for the SLT, some of which have organizational impact.
  • Assist in scheduling SLT meetings, meeting agendas and off-sites
  • Plan and coordinate all aspects of Steering & Board meetings. Assists Board members as needed.
  • Maintain discretion and confidentiality in relationships with all board members.
  • Manage and adhere to operating expectations regarding board and board committee matters, including advance distribution of materials before meetings.

The Ideal EA

  • Experience working for a global organization with executives in different time zones.
  • The ability to work the time necessary to support the executives’ demanding schedules and complete projects and/or meet deadlines.
  • Strong organizational skills and the ability to prioritize multiple competing tasks with excellent attention to detail.
  • Proven ability to maintain confidentiality and manage sensitive data and information.
  • Excellent interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, customers, and external partners.
  • Able to adapt quickly and comfortably to shifts in priorities while maintaining the highest levels of customer service and responsiveness.
  • Able to demonstrate forward thinking, ability to solve problems and propose solutions.
  • Highly resourceful with the ability to be effective independently and with little direction.
  • Strong internal customer service attitude.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Outlook, Word, Excel, and PowerPoint
