The Team Administrator’s (Senior Leadership Team) primary function is to ensure that King’s Cross estate’s day-to-day activities run smoothly, allowing senior leaders to focus on strategic goals.
Key responsibilities will include:
- Coordinating and scheduling meetings and agendas for the senior team
- Preparing reports and presentations for senior team members
- Acting as a gatekeeper for communication with the senior team
- Managing administrative tasks
- Managing travel arrangements from time to time
Team Structure
Reports to: General Manager.
Senior Leadership Team consists of - General Manager, Director of Surveying, Head of Property Operations, Head of Destination, Head of Security, Head of Technical Services, Head of Purpose, (Client Services Director from time to time).
Roles may be amended in the team at a later date.
Key Responsibilities
- Calendar management - maintain and coordinate complex schedules for the Senior Leadership Team (SLT), including scheduling meetings, appointments, and setting reminders.
- Meeting coordination - prepare agendas, distribute meeting materials, take minutes, and follow up on action items from senior team meetings.
- Communication management - handle incoming calls, emails, and correspondence on behalf of the SLT, prioritising urgent matters and appropriately directing communication.
- Provide administrative support, including document and digital asset management.
- Process expense claims.
- Coordinate with all teams and other team administrators as necessary.
- Travel arrangements from time to time - book travel, accommodation, and transport via Savills’ travel app, including itineraries.
- Document preparation - draft presentations, reports, memos, and other documents as needed, ensuring accuracy and professional formatting.
- Project support - assist with specific projects by managing deadlines, gathering information, and coordinating with relevant stakeholders.
- Office administration - manage office supplies, maintain filing systems, and coordinate administrative tasks as needed.
- Confidentiality - maintain strict confidentiality regarding sensitive information related to the senior team and operations.
- You may be asked carry out varied additional tasks as necessary and in support of the SLT and the delivery of King’s Cross estate vision and values.
Experience, Knowledge & Qualifications Required for the Position
- Exceptional organisational skills - ability to prioritise tasks, manage multiple calendars, and work effectively under pressure.
- Strong communication skills - excellent written and verbal communication skills to effectively interact with internal and external stakeholder and customers at all levels.
- Proficiency in Microsoft Office suite - expertise in applications like Outlook, Word, Excel, and PowerPoint for document creation and management, also Apple products, and Asana.
- Attention to detail - meticulous focus on accuracy and ensuring all tasks are completed to a high standard.
- Discretion and confidentiality - able to handle sensitive information with utmost confidentiality.
- Adaptable and flexible - willingness to adjust to changing priorities and work demands in a fast-paced environment.
