Office Manager | All-Through Academy | Newham
CORE PURPOSE
We are seeking an efficient, proactive Office Manager to lead and coordinate the administrative and operational workflows across our academy. Operating within a vibrant all-through school environment, the successful candidate will manage front-of-house operations, line-manage the administrative support team, maintain office systems, coordinate key events, and provide high-level administrative support to senior leadership.
THE SCHOOL
A dynamic 3–18 all-through academy located in the London Borough of Newham, East London. The school provides a seamless educational journey from Early Years through to Sixth Form. Operating with structured, centralized administrative processes, the office team works collaboratively using modern digital communication tools and MIS databases to manage reception, admissions, and parent communications effectively across primary and secondary phases while keeping staff workloads sustainable.
KEY TASKS & DAILY OPERATIONS
Office Team Leadership: Line-manage and deploy the administrative and reception team, managing rotas, setting operational standards, and overseeing daily front-of-house services.
Administrative Management: Oversee daily administrative workflows, reprographics, internal/external correspondence, and executive support for the Senior Leadership Team.
MIS & Data Integrity: Supervise the accurate maintenance of pupil records, attendance tracking, and admissions workflows on the school MIS (e.g., SIMS or Arbor), assisting with statutory returns.
Event & Visitor Logistics: Plan and coordinate administrative support for school events, open evenings, admissions clinics, and parent consultation days across all key stages.
Financial & Compliance Admin: Oversee petty cash, manage office supplier orders, handle facilities/visitor compliance under strict safeguarding protocols, and ensure GDPR adherence across office routines.
PROFILE REQUIREMENTS
Qualifications: Strong literacy and numeracy skills (GCSE Grade C/4 or equivalent in English and Mathematics). A qualification in Business Administration or Office Management is highly desirable.
Experience: Proven experience in an office management or senior administrative leadership role, preferably within an educational setting, academy trust, or busy public sector environment.
Skills: Excellent leadership and organizational abilities, outstanding interpersonal skills, and high proficiency in ICT and school database systems.
